What is the Attachment Type used for, and how do I add new Attachment Types?

As of the 24.1 software update (released in Oct 2024), Keystone made the "Attachment Type" a required field when attaching an electronic file to Keystone.

This change was implemented to allow users to more easily search / filter their file attachments and to apply default security controls on groups of attachments.

Keystone will continue to maintain and deliver a small group of "standard" Attachment Types for consistency across all sites (e.g., "W2" for employees' W-2 Forms), but you can create your own Attachment Types to suit your organization's policies.

To do so, use the screen "Enter / Update Attachment Types" (KC0213):

  • Application Codes associated with this Type: This limits which screens have access to the given Attachment Type. In the screenshot above, any screen code starting with AP... will have access to this type
  • Files Associated with this Type: This limits which database files have access to this Attachment Type. In the screenshot above, the IHIST (Invoice History) file is associated with the "FIS-INV" Attachment Type
  • Default Security: This sets the default security on the attachment when added to Keystone, which is useful when adding sensitive documents to the system.

As noted above, when attaching a new document, the system will prompt you to select an Attachment Type. The list of attachment types will be filtered down per the settings defined on KC0213.
