This article explains how to attach documents to Keystone, with the example of attaching KEMS documents to employees' filing cabinets.
NOTES:
Also, be sure that the files are saved on a shared network location.
Go to KEMS System Administration Menu -> KEMS Utilities -> Import Files to Attachment Folder (KC0080).
- Select the Import Item type from the drop-down.
- Once you select "KEMS Documents" in the "Import Item drop-down, you will see the examples on how to name your files (EmployeeNumber.ext or SSN.ext)
- Enter the Optional Prefix, if desired
- If you fill this out, your filenames must have the the same prefix followed by the employee number. For example if you enter "TEST123_" as the prefix, your files must be named "TEST123_1000.pdf" "TEST123_1001.pdf" etc. (for employees #1000 and #1001).
- Enter the Attachment Type or use the lookup to see the available options.
- Enter a description in the next field.
- If you do not want to remove existing attachments, select Set as Default for the Image Default Options.
- Tab through the entire screen until you are able to select Browse for Path. Using the Windows Folder, select the folder where the documents are saved, and select Open.
- Click OK on the screen.
You will then get a pop-up that states the number of files that were found to import. If that looks correct, click Yes.
The process is now complete and you can view the documents in the employees filing cabinet.
*Note: If you get an error that the path is invalid, please contact your IT to make sure that it is pulling the correct path.
