How do I import Journal Entries?

NOTE: You cannot bring in the same batch file more than one time unless you go back, open the file, and delete the posting data that was added to the header record. 

Go to General Ledger, Journal Entries Menu, Import Journal Entries (GL0062).

Filename... If the file is saved on your PC, leave this blank. (You only need to enter a filename here if you prefer to save the file in the shared "IMPORT_JE" folder first.)

File Type... Select Comma Delimited or Tab Delimited (Tab Delimited is recommended).

Header Lines... This corresponds to the number of header lines in the template. There is at least one header line in the default template that needs to be skipped. If you added additional lines of header information, you will need to increase this number to reflect how many lines should be skipped.

Post Due To/Due From (X = Yes)... If this box is checked and the journal entries do not balance by Fund but balance cumulatively, the system will process a due to/due from transaction to balance out the entries made.

If the Batch Number changes create a new Journal Entry (X = Yes)... This refers to column A of the template. Check this box if you entered separate batch_nums (NOTE: If you leave column A blank or you want to import the template as one batch, leave this box unchecked).

Posting Date... Enter the date the entries will post to the General Ledger. 

Click OK, the program will check that all the account numbers exist, that all accounts are valid and that the transactions are in balance.

NOTE: You will receive a report if there are errors found and the data will not post. If there are no errors, you will receive a report with a batch number (it is recommended that you print this report).
