How do I change an employee's name in KEMS (after it has already been updated in my network / Active Directory)?

When an employee's name changes, there are various places in KEMS that will be updated as well:

  • Previous Name / Reason for Change
  • Web ID
  • Work Email 
  • KeyNet login
  • Keystone Client login (if applicable)

 

Employee Management System → Employee Maintenance (KE0001)

Go to the Last Name field and enter the new last name, press tab. (Example: changing from KEYSTONE to KEYSTONE-SMITH):





Choosing Yes to proceed will update the Previous Name found under Personal Data (KE0039). You will be prompted to enter a reason for the change.

You may enter a short reason for this change: (e.g., Marriage, Divorce, etc.)

OK to continue; Cancel to proceed without a reason.

Then, on KE0001, choose OK to save your changes to the employee record.

When you save the employee record, you will be prompted to update the email address (the email format is based on your Web Settings (KE1034))

Yes to continue; No to proceed without updating the email address.

Employee Management System → Employee Maintenance (KE0001) Personal Data (KE0039), to view the Previous Name and Reason for Change

Employee Management System → Employee Maintenance (KE0001) Personal Data (KE0039) → Confidential Data (KE1099) button, to check the Web ID (an 'X' next to the ID indicates that it was overridden).


If the Web Id had been overridden, you will need to manually update it to reflect the name change (based on your systems parameters).

Yes to continue; No to cancel this change.

Ok (multiple times) to save the employee record.

You will receive an additional message confirming the Web Id change.

To confirm the email was updated, go to: Employee Maintenance (KE0001)  Contact Information (KE0012) button, check the Work Email address (an 'X' next to the Work Email indicates that it was overridden). If it had been overridden, you would need to manually update this information.


KeyNet only users:

General System Administration KeyNet Parameters →  KeyNet User Maintenance [WEBSEC file] (KC0054)

Select the Look Up icon to view current users (Active users display first) or enter the Web Id established in the Employee's Master file, to confirm the update.

Keystone Client users:

General System Administration Security/Menus/Access Rights User Maintenance [VALIDATION file] (KF0045)

Select the Look Up icon to view current users (Active users display first). If the employee is set up in Keystone Client, they will have a Validation record. In order to update the name change, you will need to do a Save As to create a new record with the new name.

Enter the Employee # and press tab, Done, OK.

Yes to copy the roles; No to proceed without copying the KeyNet Roles.

Yes to continue copying the MQ's; No to proceed without copying the MQ's.

Yes to copy the user's shortcuts; No to proceed without copying the shortcuts.

A confirmation message is received, select OK to save; then, OK to exit out of the record.

 

General System Administration KeyNet Parameters KeyNet User Maintenance [WEBSEC file] (KC0054) button:

The formats that are displayed are based on your KEMS Site Parameters (KE0294) > Web Settings button. You do not want to make changes to this screen.
